The best email signature generator for most small businesses is a free one that gives you email-safe HTML, doesn't put its own advert in your signature, and doesn't make you create an account first. As of October 2026, HubSpot, mail-signatures.com and Signguin give you a finished signature without an account. WiseStamp, Newoldstamp, MySignature and Exclaimer are built around paid plans and team management. Canva is a design tool that turns your signature into an image.

Below you'll find a comparison table, what each free plan really includes, the prices each vendor lists today, and an honest "not a fit if" for every tool.

One disclosure before we start: Signguin is our own generator. It's in this list with its downsides, and for several of the reader types below it isn't the best pick. Every fact about the other tools comes from their own public pages, checked on October 5, 2026.

Prices and plan details as listed on each vendor's own website as of October 2026 (checked October 5, 2026). Vendors change prices often, so confirm on their pricing page before you buy. "Not stated" means the vendor's public pages didn't say either way, not that the feature is missing.

How we compared

We didn't rank these tools by gut feel. For each one we read the vendor's own pricing page, generator page and, where it existed, its help article about plans, all on October 5, 2026. Where a page wouldn't load for us, we say so in the source notes rather than fill the gap from memory.

We then scored each tool against the questions a small business actually runs into in the first week of using a signature:

  1. Does the code hold together in Outlook? Classic Outlook for Windows draws emails with Microsoft Word's engine, which ignores a lot of modern web code. A signature that looks perfect in your browser can arrive with gaps, borders or stacked columns. Generators that build with tables and inline styles do better.
  2. What does the free version put in your signature? Many free plans add a "Create your own signature with..." link. That's a fair trade for a free tool, but you should know it's there before you send 500 emails with it.
  3. How much friction before you get the code? Some tools give you the signature immediately; others need an account, a trial or a form.
  4. Where do your images live? Your logo has to be hosted online. Some tools host it for you; others ask you to paste a link to an image you've uploaded somewhere yourself.
  5. One-time payment or subscription? This matters more than the monthly figure suggests (see the cost table below), especially because some vendors state that your signature stops working when the subscription ends.
  6. Do you need team features? If you're setting up one or two signatures, central management is money you don't need to spend. At 15 people, it starts to earn its keep.

We also kept one hard limit in mind: Gmail allows up to 10,000 characters in a signature, and per Google's help page, images count toward that limit. Bloated code is the most common reason people see Gmail's "signature is too long" error. (More on that in our guide to email signature size.)

The 9 best email signature generators, reviewed

1. HubSpot Email Signature Generator

Who it's for: anyone who wants a free signature fast and doesn't mind finding a place to host their logo.

Free plan: the whole tool is free. HubSpot's page says it has "no hidden costs, no trial period, and no account required." You get 12 templates, fields for name, title, department, company, two phone numbers, website, email and address, social links (LinkedIn, Facebook, X, Instagram, WhatsApp), custom fields, a legal footer, a call-to-action button and a handwritten signature you can draw or set in one of 8 handwriting fonts.

Branding: the tool includes a "Created With HubSpot" option that adds a "Create Your Own Free Signature" link. Check it before you copy if you'd rather not carry it.

Paid price: none listed. The generator is a free tool from a company that sells CRM software, and the copy screen promotes HubSpot's other products.

Install options: you get "Copy signature" and "Copy signature source code" buttons, plus HubSpot's own setup guides for Gmail, Outlook (desktop and web), Apple Mail, Yahoo Mail and HubSpot CRM.

Standout features: handwritten signature, legal footer field, meeting-link CTA, works in a phone browser.

Team features: HubSpot's FAQ describes team use as a manager choosing the brand elements and each employee creating their own signature with them. Central deployment isn't described.

Not a fit if: you want the tool to host your images. For the photo and logo, it asks for a link to an image hosted elsewhere (its tooltip suggests Dropbox or HubSpot's file manager, max 3 MB), and HubSpot's own FAQ warns against Google Drive links. HubSpot also notes that one template (Template 3) displays poorly on mobile when it includes images.

2. Signguin

Who it's for: freelancers and small businesses that want a branded signature in a couple of minutes, without hunting for their logo file or colour codes.

Free plan: no sign-up, no credit card. 3 of the 23 designs are free (Classic, Simple and Local pro), and every install option is included. Free signatures carry a small "Made with Signguin" link at the bottom.

Paid price: Premium is a one-time payment for one person, with no subscription. It adds your photo, all 23 designs, CTA buttons and banners, and removes the "Made with" link.

Standout features: you type your work email and Signguin reads your company's website for the logo, brand colours and contact details, and guesses your name from the address. (With a gmail.com-style address, you type your website or start from scratch.) The preview shows the signature inside a realistic email, with phone/desktop and light/dark toggles. Images are hosted by Signguin and stored at 2x for sharp screens, so the signature doesn't break when your website changes. The code uses tables, inline styles and PNG social icons generated in your brand colour, because SVG icons don't show in classic Outlook for Windows or Outlook for Mac.

Install options: copy and paste with step-by-step instructions for Outlook, Apple Mail and others. For Gmail there's also a direct install button: you connect Gmail once, and Signguin only asks for permission to change Gmail settings. It never reads your email and doesn't keep access.

Team features: none yet. Teams is on a waitlist.

Not a fit if: you need to manage signatures for a whole team from one place, want click tracking or analytics, or want more than 3 designs without paying. Premium is per person, so a 12-person office pays 12 times.

3. mail-signatures.com (by CodeTwo)

Who it's for: people on Outlook, and office managers who want a long list of templates and plain copy-paste.

Free plan: the generator is free and, on the page we checked, goes straight from form to "Copy" with no sign-in step. Its page title promises 100+ templates. You start by choosing your email program: Outlook, New Outlook, Outlook 365, Apple Mail, Gmail, Thunderbird, Exchange Server or Microsoft 365. The instructions then match that program. The page also shows a dark-mode preview of each template.

Paid price: none on the generator page. It links to CodeTwo for organization-wide signature tools.

Standout features: platform-specific install steps, up to 6 social icons on the template we checked, a disclaimer field with example texts, and an option to swap your details for Active Directory placeholders (useful if IT will roll the template out).

Team features: not in the generator itself; the page points to CodeTwo's paid tools for company-wide use.

Not a fit if: you don't have somewhere to host your logo. Like HubSpot, it asks for a direct link to an image you've uploaded to your own server or a file host. It also posted a notice that it changed where template images are stored, asking anyone who made a signature before January 9, 2026 to update it.

4. WiseStamp

Who it's for: individuals and growing teams who want the signature installed for them rather than copy-pasted.

Free plan: the WiseStamp generator lets you design a signature for free, but per its help center, to install it you start a free trial (14 days, no credit card). You sign in with Google, Microsoft or an email address. WiseStamp's help center says the "Create your own email signature with WiseStamp" line appears on signatures on the Free plan and during the trial, and is removed when you upgrade.

Paid price (as of October 2026): Pro+ is $9/month billed annually, for individuals and micro-teams; the pricing page says you can add up to 10 team members for $2/month each. Business plans: Basic $19/month, Grow $49/month and Platform $189/month, each plus $1 per employee per month, billed annually. Its help center adds a minimum of 3 seats on Basic, Grow and Platform. Enterprise is custom-priced. The pricing page mentions a 14-day money-back guarantee.

Install options: one-click Gmail and Outlook sync on Pro+, a Chrome extension for Gmail, a desktop app or copy-paste for Outlook and Apple Mail, and copy-paste on iPhone and Android.

Standout features: an "AI Signature Designer" on every plan, banners, trackable links and surveys on business plans, analytics on Grow and above.

Team features: Google Workspace and Microsoft 365 integration, directory sync and auto-install from Basic up; server-side deployment from Platform up.

5. Newoldstamp

Who it's for: small teams that want one dashboard for everyone's signature, plus banner campaigns.

Free plan: the generator page says you can "use free version to create your email signature using simple templates and basic customization options", and lists "no branding" among the paid features, so expect Newoldstamp branding on free signatures. The free generator page also notes it isn't available on mobile. Paid features come with a 7-day trial; Newoldstamp's FAQ says you can design during the trial but "won't be able to start using the signatures until you upgrade".

Paid price (as of October 2026): billed annually and priced by the number of signatures. The pricing page's slider defaults to 5 signatures at $109/year, shown as $1.8 per signature per month; other counts are priced on the slider. Above 200 signatures there's a custom plan.

Install options: copy-paste HTML into Gmail, Outlook or Apple Mail, a one-click integration where available, and automatic deployment through Google Workspace and Microsoft 365 for teams.

Standout features: images stored on Newoldstamp's servers, CTA buttons, banner campaigns with scheduling, click analytics.

Team features: central dashboard, department templates, and a shareable link so colleagues can fill in their own details.

Not a fit if: you want a signature you set up once and forget. The FAQ states your signature "will stop working as soon as your subscription expires or when you delete your account."

6. MySignature

Who it's for: freelancers, salespeople and small teams who want email tracking alongside their signature.

Free plan: yes. Its FAQ says you can start in the editor without an account, but "you need an account to save, copy, and manage your signature". The free plan allows 1 signature per email address, and removing MySignature branding is a paid feature. The homepage lists 100+ templates and install guides for Gmail, Outlook, Apple Mail and Thunderbird.

Paid price (as of October 2026): Professional, described as best for individuals or businesses with up to 5 team members, is $7 per user per month, billed yearly. The Teams plan for larger groups is $6 per user per month, billed yearly.

Standout features: open and click tracking, signature analytics, banners, CTA buttons, QR code, a Canva integration and digital business cards.

Team features: invite colleagues on Professional; central management with Google Workspace and Microsoft 365 automation on Teams.

Not a fit if: you want to copy your signature without creating an account, or you don't want a recurring bill. MySignature's FAQ says that after you cancel, "signatures, online cards and wallet cards will stop working" at the end of the billing cycle.

7. Canva

Who it's for: people who care most about the look and already use Canva.

Free plan: Canva's free plan includes email signature templates. The "Create an email signature" button on its signature page leads to Canva's sign-up. You edit a template, then "Download the final email signature as a high-resolution image", and upload it to your email client. Canva's FAQ recommends PNG.

Paid price (as of October 2026): Canva Free is US$0. Canva Pro is US$144/year for one person, and Canva Business is US$250/year per person. You don't need a paid plan to make a signature.

Install options: you insert the image in your email program's signature settings, for example with Gmail's image button.

Standout features: total design freedom, a large free media library, real-time collaboration on a layout.

Team features: shared editing for Canva users; not a signature-management tool.

Not a fit if: you want people to tap your phone number or click your email address. In an image-only signature, all of your text is part of a picture, so it can't be tapped, clicked or copied unless you add text links yourself in your email client. 8. Exclaimer

Who it's for: companies of 10 or more people whose signatures should be applied automatically to every email, including from phones.

Free plan: Exclaimer offers a free email signature generator: you design a signature, copy the HTML and paste it into Outlook or Gmail. The signature management platform itself has a 14-day free trial.

Paid price (as of October 2026): Starter $0.90, Standard $1.45 and Pro $1.75 per user per month, billed annually, in USD. Enterprise is custom-priced. Exclaimer's FAQ states a minimum of 10 users, so the smallest Starter plan works out to $108 a year.

Install options: the platform applies signatures centrally for Microsoft 365, Google Workspace and Microsoft Exchange. The free generator is copy-paste.

Standout features: signatures added to emails from all devices, directory sync, legal disclaimers by department or recipient, campaign banners, engagement data on Pro.

Team features: this is what Exclaimer is built for.

Not a fit if: you're a team of one to five. Exclaimer's own generator FAQ says the free tool works for a team "but with limits", one signature at a time.

9. signatureforemail.com

Who it's for: individuals who want hosted images, click tracking and the option to pay monthly.

Free plan: "Create a simple email signature for free." The generator runs in the browser on the homepage, and you pick your email client (Gmail, Apple Mail, Outlook New, Outlook Classic, Outlook Live) so the code is adjusted to it. Free signatures include a SignatureForEmail branding link; image hosting and saved signatures are part of the paid plans.

Paid price (as of October 2026, shown in EUR on our visit, with USD and GBP selectable): Personal €5/month or €30/year, Pro €10/month or €60/year, Business €30/month or €180/year. The page lists a 14-day money-back guarantee. Its homepage also mentions a one-off payment option that we didn't see on the pricing page.

Standout features: client-specific HTML, AI signature generation, open and click tracking, CSV bulk creation on Pro and Business.

Team features: bulk creation and deployment on Pro and Business.

Not a fit if: you want hosted images without paying. The site lists image hosting as a PRO feature; on the free version you link to images hosted elsewhere.

What one person pays in the first year

Monthly prices are hard to compare when some are billed annually, some per user, and some have minimums. Here is what a single person would pay for the first year at each vendor's entry price, using the figures above:

The point isn't that cheaper wins. Exclaimer's $108 buys central deployment that HubSpot's free tool doesn't describe. The point is that for one signature that rarely changes, a subscription keeps billing you for something you set up once. For 20 people whose details change every month, a subscription with a dashboard is often the better deal.

Free email signature generator vs email signature software

These two terms get mixed up, and the difference decides which half of this list you should look at.

An email signature generator (or email signature maker) builds the signature and hands you the code. You install it yourself, once per person, per device. HubSpot, mail-signatures.com, Signguin and the free side of Canva work this way. It's the right tool for freelancers and small businesses up to a handful of people.

Email signature software (often called signature management) keeps the signature in a central dashboard and pushes it to everyone, usually through Microsoft 365 or Google Workspace. When someone changes job title, it updates automatically. Exclaimer, WiseStamp's business plans, Newoldstamp and MySignature Teams sit here.

A useful rule of thumb: if you can name everyone who needs a signature without looking at a list, a generator is enough. If someone in HR has to tell you when people join or leave, look at software.

Pick Signguin if you'd rather not find your logo file and colour codes yourself, or if you don't have anywhere to host images. Before you roll out any signature: a 5-minute test

Whichever generator you pick, run this test before you trust it. Most problems people blame on a tool show up here first.

  1. Send a test email to an Outlook account and open it in classic Outlook for Windows if anyone you write to uses it. Look for gaps between icons, borders around images, or a layout that has stacked into one column.
  2. Open the same email on a phone in light and dark mode. Dark text on a transparent logo can disappear in dark mode.
  3. Reply to yourself. Some email programs strip images from replies. If your logo vanishes in the thread, your image host or the way the image was inserted is the cause.
  4. Paste into Gmail and save. If Gmail says the signature is too long, the code or an embedded image is pushing past the 10,000-character limit. See how to change your Gmail signature for the fix.
  5. Click every link. Phone numbers should open the dialer on a phone; social icons should go to your profiles, not the vendor's placeholder pages.

What is the best free email signature generator?

For most people, the best free email signature generator is one that needs no account, adds no forced branding and produces table-based HTML. As of October 2026, HubSpot's generator is free with an optional branding link, mail-signatures.com is free with 100+ templates, and Signguin is free with 3 designs and automatic logo and colour loading from your website.

Are free email signature generators safe to use?

Generally yes, but check two things. First, what permissions the tool asks for: a generator that installs into Gmail should only need permission to change your signature setting, not to read your mail. Second, where your images are hosted: if the host deletes or moves them, your logo disappears from every email you've sent.

Do I need email signature software for a small business?

Usually not until you have roughly 10 or more people, or staff change often. Below that, a free generator plus 5 minutes per person is cheaper. Signature management software earns its cost when someone would otherwise spend hours updating signatures by hand.

Why does my signature look different in Outlook?

Classic Outlook for Windows uses Microsoft Word to display email, and Word ignores many modern web styles. Signatures built with nested tables, inline styles and fixed image sizes survive best. Always send a test to Outlook before using a new signature for real.

Is an image signature made in Canva a good idea?

It looks exactly as designed, but nothing in it is clickable or copyable, and many email programs hide images until the recipient allows them. A better approach is to use the design for your logo or banner and keep your name, phone and email as real text.

Can I use the same signature in Gmail, Outlook and on my phone?

Yes, if the generator produces email-safe HTML. You install it separately in each program: Gmail settings, Outlook signature settings, and your phone's mail app. Phone apps often handle formatted signatures less well, so a simpler version for mobile is common.
